TripDeck Terms of Service

Effective date: August 27, 2026 Last updated: October 8, 2026

October 8 storage correction: This update clarifies that business profiles, contacts, notes, extracted card data, and file metadata are stored on TripDeck's servers in both file-storage modes. It also corrects outdated references to providers, backups, and account deletion. It does not change prices, refunds, or the notice periods stated below.

October 2 update: This update corrects outdated subscription-availability wording and explains the existing account-trial and subscription-checkout flows. It does not change subscription prices, the published refund policy, or the notice periods stated in these Terms.

These Terms of Service ("Terms") govern your use of TripDeck. Please read them carefully. By creating an account or using TripDeck, you agree to these Terms. If you don't agree, don't use the service.

TripDeck is operated as a sole proprietorship by Christopher S. Dye, based in Waverly, Illinois, United States ("TripDeck," "we," "us," or "our"). You are "you" or "the user."

1. What TripDeck is

TripDeck is a productivity tool for people who attend business trips — trade shows, expos, site visits, customer meetings — and want to turn those trips into structured reports. TripDeck captures business cards, dictated notes, and other trip artifacts, then generates polished trip reports and engagement reports.

File storage and application records. TripDeck stores account information, business profiles, contacts, trip and engagement notes, extracted business-card data, and file metadata on its servers. Your selected file-storage option applies to photos and finished Word and Excel files, not all application data:

  • Google Drive: uploaded images and generated Word reports and Excel workbooks are saved in your connected account. OneDrive and Dropbox are not currently supported.
  • On-device files: photos are held in browser storage between uses, and reports download to your device. Photos are sent to the server when needed for report generation; neither mode is local-only processing.
  • Processing: relevant content is processed on TripDeck's servers and through third-party AI services. The application does not maintain a permanent server archive of photo or finished-report files, but retains the application records listed above.
  • Your copies: keep copies of important photos and downloaded reports. Browser storage can be cleared or evicted and is not automatically available on another device. A generated report is not a complete backup of every application record.
  • Removal: deleting browser photos, disconnecting Drive, or canceling a subscription does not delete all server records. Request access or deletion at [email protected]; see the Privacy Policy.

2. Accounts

To use TripDeck you must:

  • Be at least 16 years old
  • Provide accurate account information
  • Keep your password confidential — you're responsible for activity under your account
  • Choose Google Drive or on-device file storage

You may not create accounts for anyone other than yourself without authorization, share your account credentials, or use TripDeck to impersonate someone else.

3. Acceptable use

Use TripDeck for its intended purpose — organizing your own business trips and the contacts you meet on them. Don't use TripDeck to:

  • Violate any law or the rights of others, including data protection laws where you collect contact information
  • Upload or process content you don't have the right to process (this includes business cards, notes about people, and audio recordings — you're responsible for having the appropriate legal basis to collect and process contact data under laws like GDPR, CCPA, or equivalent)
  • Attempt to gain unauthorized access to TripDeck, its infrastructure, or other users' accounts
  • Reverse-engineer, decompile, or interfere with the service beyond what is necessary for normal use
  • Send spam, malware, or automated abuse through any TripDeck feature that generates outbound communication
  • Use TripDeck in a way that would cause it to violate the terms of any third-party service it depends on (Google API terms, Microsoft Graph terms, Dropbox API terms, our AI providers' terms)

If you violate these rules we may suspend or delete your account without notice.

4. Your responsibility for what you input

You decide what goes into TripDeck. We don't inspect it. TripDeck is designed for ordinary business contact information collected on trade shows, industry events, and commercial site visits. It is not a controlled environment. You are solely responsible for deciding whether any given piece of information is appropriate to enter.

Do not use TripDeck to store, transmit, or process:

  • Classified national security information of any government
  • Controlled Unclassified Information (CUI), including but not limited to Export Controlled (EXPT), Critical Infrastructure (CRIT), Defense (DCRIT, DCNI, NNPI, UCNI), Intelligence (INTL), and Law Enforcement (LEI) categories
  • Technical data or software subject to the International Traffic in Arms Regulations (ITAR, 22 CFR 120-130) or the Export Administration Regulations (EAR, 15 CFR 730-774), including any information whose disclosure to a foreign person would require a license
  • Protected Health Information as defined by HIPAA (45 CFR 160, 164)
  • Proprietary or trade-secret information belonging to a third party that you are not authorized to disclose
  • Special categories of personal data under GDPR Article 9 (racial or ethnic origin, political opinions, religious beliefs, health, sexual orientation, biometric or genetic data), or data relating to minors under 16
  • Payment card data governed by PCI DSS

TripDeck has not been assessed for, and is not authorized to handle, controlled or regulated information. It is not FedRAMP-authorized. It is not CMMC-assessed. It is not a HIPAA-compliant environment and we will not sign a Business Associate Agreement. It is not accredited for classified networks. It is not a Cross-Domain Solution. The subscription you pay for is a commercial software service, not a compliant enclave.

Content you enter reaches our AI provider. To generate research summaries, fit scores, follow-up drafts, and reports, TripDeck sends the contact and note text you enter to a third-party AI service (Perplexity Sonar). This transit happens even when your files ultimately land in your own cloud storage. You should assume that any text you type or dictate into TripDeck will be transmitted to that provider for processing. See Section 6 (“Third-party services”) for the current list of providers.

Your rights, permissions, and consents are your responsibility. By entering a person's information into TripDeck you represent that you have all rights, permissions, and consents necessary to collect and process it under the laws that apply to you and to the person you met — including GDPR, UK GDPR, CCPA/CPRA, PIPEDA, LGPD, and other applicable data-protection regimes. TripDeck does not verify or confirm any of that on your behalf.

Automated processing is not a compliance review. TripDeck reads and processes relevant content to deliver its features. It does not certify that your submissions meet your organization's rules or the restrictions above. You must check those requirements before entering information; using your own Drive or browser for files does not prevent server-side or AI processing.

5. Your content and licenses

You own your content. TripDeck does not claim ownership of your trip data, contact information, business cards, notes, reports, or other submitted content. Ownership is separate from storage: TripDeck retains application records as explained in Section 1 and the Privacy Policy.

License to us. To operate TripDeck, you grant us a limited, non-exclusive license to store, read, process, transmit, and modify your content solely as needed to provide the service. Examples include saving your business profile, extracting and caching card details, assessing companies, and generating reports. Disconnecting Drive ends use of that connection but does not delete server-stored content. Deletion requests and any required retention are handled as explained in the Privacy Policy.

AI processing. TripDeck does not use your content to train its own AI models. Third-party processing is governed by the applicable API terms and configured services; we do not promise zero provider retention. Contact us before submitting information that requires specific contractual protections.

6. Third-party services

TripDeck integrates with services controlled by other companies:

  • File storage: Google Drive, if connected
  • AI services: Perplexity API and models used through it for card reading, profile assistance, research, and report analysis; OpenAI for optional audio transcription only when that feature is enabled and used
  • Payment processor — Stripe for subscription checkout, recurring payments, and billing management
  • Infrastructure: Render for backend and database hosting; Cloudflare for marketing-site hosting and network security
  • Service email: Resend when email sending is configured

Your use of TripDeck is subject to those services' terms of service and privacy policies. TripDeck is not responsible for the availability, accuracy, or behavior of third-party services. If a storage provider changes its API, loses your data, or terminates your account, TripDeck cannot make you whole for what that provider does.

7. Fees, subscriptions, and refunds

TripDeck offers paid subscriptions and a 14-day account trial that does not require a payment card. Creating an account and completing subscription checkout are separate steps.

No-card account trial. Your account trial begins when you sign up. Creating an account alone does not create a paid Stripe subscription or authorize an automatic charge. If your account trial expires and you do not have an active subscription or valid subscription trial, you cannot generate new reports. Trial expiry alone does not delete your saved trips; this does not promise indefinite data retention. Keep your own copies of important records.

Card-required subscription checkout. When you choose a subscription plan, TripDeck opens Stripe checkout and requires a payment method. The current checkout flow includes a separate 14-day subscription trial beginning with checkout, rather than using the remaining days of your original no-card account trial. Review the selected plan, billing interval, amount, and first payment date displayed at checkout before confirming. Unless you cancel before that subscription trial ends, Stripe will charge the selected payment method and the subscription will renew automatically. The first payment date shown at checkout applies; it is not necessarily 14 days after your original account signup.

  • Current subscription fees and billing intervals are shown on the in-app pricing page and at Stripe checkout
  • Subscriptions renew automatically unless canceled before the renewal date
  • You can manage and cancel your subscription through the billing portal available from account settings. Cancel before the subscription trial ends to avoid its first subscription charge. After paid billing begins, cancellation takes effect at the end of the current billing period
  • Refunds: we offer a full refund within 30 days of your first paid subscription, no questions asked. After that, fees are non-refundable except where required by law.

Prices may change with 30 days' notice by email to your account address.

8. AI-generated content

TripDeck uses large language models to generate trip reports, engagement summaries, and other artifacts. AI-generated content may contain errors, misinterpretations, or fabrications. You are responsible for reviewing any AI-generated output before relying on it or sharing it externally. TripDeck is a drafting assistant, not a source of truth.

9. Availability and changes to the service

TripDeck is provided on an "as-is" basis. We aim for high availability but do not guarantee uninterrupted service. We may:

  • Add, change, or remove features
  • Modify pricing (with the notice required by Section 7)
  • Suspend the service for maintenance
  • Discontinue the service entirely, with at least 30 days' notice by email so you can retrieve any data still on our servers (your storage-provider data stays where it is)

We are not liable for interruptions, delays, or failures caused by third-party services, force majeure, or events outside our reasonable control.

10. Disclaimers

TO THE FULLEST EXTENT PERMITTED BY LAW, TRIPDECK IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, OR ACCURACY OF AI-GENERATED CONTENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR SECURE.

Your use of the service is at your own risk. You are responsible for maintaining backups of any data you consider important.

11. Limitation of liability

TO THE FULLEST EXTENT PERMITTED BY LAW, IN NO EVENT WILL TRIPDECK OR CHRISTOPHER S. DYE BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING LOST PROFITS, LOST DATA, OR BUSINESS INTERRUPTION, ARISING OUT OF OR RELATED TO YOUR USE OF THE SERVICE, WHETHER BASED ON CONTRACT, TORT, OR ANY OTHER LEGAL THEORY, EVEN IF WE HAVE BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.

OUR TOTAL AGGREGATE LIABILITY FOR ALL CLAIMS ARISING OUT OF OR RELATED TO THESE TERMS OR YOUR USE OF THE SERVICE IS LIMITED TO THE GREATER OF (A) THE AMOUNT YOU PAID US IN THE 12 MONTHS BEFORE THE CLAIM AROSE, OR (B) ONE HUNDRED U.S. DOLLARS ($100).

Some jurisdictions do not allow the exclusion or limitation of certain damages, so some of the above may not apply to you. In those jurisdictions, our liability is limited to the maximum extent permitted by law.

12. Indemnification

You agree to defend, indemnify, and hold harmless TripDeck and Christopher S. Dye from any claim, damages, or expenses (including reasonable attorneys' fees) arising out of your use of the service, your content, or your violation of these Terms or applicable law — including data protection laws relating to the contact information you process through TripDeck.

13. Termination

You may stop using TripDeck at any time and request account deletion at [email protected]. Cancel any paid subscription through billing management separately; simply stopping use does not cancel billing. We may suspend or terminate an account for violations of these Terms or misuse of the service.

On termination:

  • Server-stored records are handled under the retention and deletion process in the Privacy Policy; termination does not promise immediate automatic erasure
  • Files in your own storage stay in your storage — you keep them
  • The following sections survive termination: 4 (Your responsibility for what you input), 5 (Your content and licenses, for content you shared before termination), 10 (Disclaimers), 11 (Limitation of liability), 12 (Indemnification), 14 (Governing law and disputes)

14. Governing law and disputes

These Terms are governed by the laws of the State of Illinois, United States, without regard to conflict-of-law rules. Any dispute arising out of or related to these Terms or your use of TripDeck will be resolved exclusively in the state or federal courts located in Illinois, and you consent to the personal jurisdiction of those courts.

Nothing in this section prevents either party from seeking injunctive or equitable relief in any court of competent jurisdiction to protect intellectual property rights.

15. Changes to these Terms

We may update these Terms. Material changes will be announced by email to your account address at least 14 days before they take effect, and the "Last updated" date at the top will change. Continuing to use TripDeck after a change means you accept the updated Terms. If you don't accept them, stop using the service and delete your account.

16. Miscellaneous

  • Entire agreement. These Terms and the Privacy Policy at gettripdeck.com/privacy are the entire agreement between you and TripDeck concerning the service.
  • Severability. If any part of these Terms is found unenforceable, the rest stays in effect.
  • No waiver. Our failure to enforce a provision is not a waiver of our right to enforce it later.
  • Assignment. You may not assign these Terms without our consent. We may assign them, for example if TripDeck is sold or reorganized.
  • Contact. Questions about these Terms: [email protected]
